Five Things to Consider when Finding the Perfect Venue

Finding a venue that suits your style, capacity needs and budget is a difficult task. We’ve compiled a list of tips to help you out along the way!

1. The Look
If the venue has any rare or unique qualities that give it a ‘wow’ factor, we are more likely to book it. Pay attention to the existing decor in the venue, the architecture style, the size of the room; what vibe does it convey and how can you make it look even better?

If the venue has an elaborate design, the less decor you will need to organise. Venues such as The Monastery in Manchester or Sefton Park Palm House in Liverpool are brilliant because they speak for themselves and have their own unique qualities.

2. Cost Savings
If the cost is relatively low on the venue, you will have more room in your budget for entertainment, food and drink.

The venue staff are integral to the operation going ahead so it is important to ensure everyone is on the same page. How efficient the staff are at replying when putting a new enquiry in is a sign to show how they will be going forward.

Look into whether the venue has a set up/clean up crew. This isn’t always the case but it means there is less pressure on you to enjoy your night!

4. Added Value
Are they willing to provide a complimentary drink on arrival for guests, give discount on catering or floral arrangements? These added values are something we really look out for in a venue. It shows that they are interested in your business and working on the enquiry with you.

More practical solutions can make a venue stand out. Such as providing table chairs and linen. If a venue has these items, you can save a great deal of your budget for other (more exciting) things.

Does it have AV capabilities? Some venues have a built in audio-visual equipment for you to use, and others will require you to bring that in yourself.

5. Is it easily accessible?
A venue that is in a convenient location means that your delegates are more likely to attend because it is close to their home or place of work.

However, if many attendees will be traveling from out of town, hosting the event at a venue near the airport or hotels is beneficial. Better still, if attendees are being housed at a single location, hosting the event at that hotel mitigates the need for taxis and people being late due to getting lost.

Does the venue have free parking? If not, consider other options such as renting out nearby car parks and include the cost in their ticket prices.
