Let’s Talk Tech: Event Planning in a Millennial World

How do we get the best out of our delegates and work force, young and old, without confusing or boring them in the process?

The millennial generation and Generation X have grown up on phones and tablets, so we need to be prepared for their new way of learning, and learn from them.

By 2030, 75% of the work force will be millennial, so they’re going to be the next experts in the industry.

Here are a few ways to embrace technological change in your events.

1. Create a memorable experience – Using technology can create an experience that your delegates won’t forget. An example of this is an event Charity Water produced. Everybody had a Virtual Reality headset which put them in the point of view of a 13 year old collecting water. This is an emotional, memorable experience that is difficult to forget.

Augmented reality is also available for your event. This is a technology that superimposes a computer-generated image on a user’s view of the real world – similar to Pokemon GO. This can be used to navigate your delegate around the event. This is a really effective, innovative way to replace a map.

2. Get an app – Although they can be pricey, 75% of millennials are willing to pay more for eco-friendly offerings, and your event is no exception.

Simple apps can be made for any event to keep your delegates up to date with the days agenda, vote in polls, brainstorming boards, games and attendees lists. As agendas are always changing, everyone will be in the know and not miss out on any of the panels. They’re brilliant to push out last minute changes to the agenda and sharing photos or videos afterwards.

Apps do have their downsides; you can’t always rely on the wifi, download speeds and even the possibility of a power cut. However, this is a progression in technology and is something that will be seen at more and more events in the future – ask your venue about their internet speed/ability to have a separate internet line.

Want a way to add your branding to the technology? Provide portable chargers with the company logo on for delegates to take home. To enhance the delegate experience, ensure they are fully charged before distribution.

3. Personalise your invites – Hologram invitations are becoming increasingly popular. This is a simple and cheap way to grab your invites’ attention, whilst also being an icebreaker in conversation to increase engagement at the event. See Example – start at 00.374. Incorporate video – Live streaming is not being utilised enough in live events. It is a great way to share your event on social media and allow delegates who couldn’t make it to catch up on what they missed. Video can also be used for post-event marketing, with drones being used to show the scale of the event.

5. Social Media – Instagram is the best social platform to reach a younger generation. Instagram stories are instant and allow the event’s highlights to be shown to thousands instantly. If your account is verified, you can use the swipe up for further information feature.

How to show your client that technology is not just an add on but a crucial DNA to the event:
• Use the technology provider’s knowledge – get the facts and figures to include in your pitch.
• Sell the technology as an essential, not an up-sell.
• Prove that other people are embracing it and show how your event can also. You don’t want to get left behind!
• Demonstrations are key!
